What You’ll Do
In this position, you will be responsible for managing the relationship with Aristotle’s outsourced middle office service providers in addition to managing a small team of employees overseeing all day-to-day outsourced functions. This opportunity encompasses operational support, operational risk management, and strategic initiative implementation, offering an excellent opportunity for motivated individuals interested in asset management operations and eager to make an impact. You will interface with Aristotle traders and portfolio managers as needed to help our middle office service provider resolve trade issues, source corporate action elections, and more. You will also assist our client facing teams in addressing clients' operational inquiries as needed.

Key Responsibilities:
  • Perform daily and ongoing oversight of all operational functions supported by Aristotle’s third-party middle office outsource providers including:
    • Trade confirmation, settlement, and notifications
    • Daily front office reconciliations versus Aristotle’s order management systems
    • Corporate action and income processing
    • Daily cash and position reconciliations to custodians
    • Monthly total market value (“TMV”) reconciliations
    • Cash flow processing
    • Monthly account level performance calculations
    • Composite performance calculations for Retail SMA accounts
    • Composite maintenance for Retail SMA accounts
    • Client reporting
    • Model delivery
    • Trade administration for Retail SMA
    • Account onboarding, offboarding, and changes
  • Perform daily oversight of key data feeds sent to Aristotle from middle office outsource providers; the feed to our order management systems (“OMS”) and our internal Data Warehouse being the most critical.
  • Interact daily with portfolio and account management professionals, working closely internally with Aristotle’s front office and externally with middle office providers, custodians, and brokers.
  • Ensure deliverables are managed to deadline and in accordance with agreed SLAs.
  • Proactively communicate with the management team about progress, issues, and outcomes.
  • Demonstrate risk-management excellence and ensure appropriate procedures are adhered to.
  • Contribute to the design of new processes, systems, and procedural implementations.
  • Manage end-to-end implementation initiatives and develop operational solutions to complex requirements. Establish governance and operational efficiency across pre-trade and post-trade support.
  • Demonstrate leadership in autonomous problem-solving, reliability, and accountability for tasks and deadlines. Manage through ambiguity and mitigate operational risks to deliver business outcomes.
  • Apply experience and sound business judgement to effectively resolve complex issues.
  • Proficiently document processes and workflows, be adept at identifying challenges, alternative solutions, and be able to assess their potential impacts.
  • Oversee Aristotle’s proxy administration function, ensuring ballots are reconciled in a timely manner.
  • Accomplish department objectives by managing staff.
  • Plan and evaluate department policies, processes, priorities, and performance goals.
  • Maintain staff by recruiting, onboarding, training, assessing, and promoting employees.
  • Ensure that the department is on track to meet performance goals and adjust based on performance data as needed.
  • Motivate direct reports by providing positive feedback and skills development.
  • Accomplish staff results by communicating job expectations and planning, monitoring, and appraising job results.
  • Develop, coordinate, and enforce systems, policies, procedures, and productivity standards.
  • Establish strategic goals by gathering pertinent business, financial, service, and operations information.
  • Act as a liaison with senior level management and other department managers by developing productive, collaborative relationships and utilizing clear and effective communication.

Qualifications:
  • A minimum of 10 years’ relevant experience leading an operations team for an asset manager.
  • Degree from an accredited college or university, or a related field, or equivalent work experience.
  • Certification such as CFA is a plus.
  • Proven experience and expertise across multiple core investment operations functions noted in the section above with an emphasis on the higher risk functions. These include corporate action and income processing, cash flow processing, management and performance fee processing, performance and analytics, client reporting, and client billing.
  • Proven knowledge of retail and institutional account support models.
  • Attention to detail – your job is to catch anything our outsource provider may miss as it’s still Aristotle’s clients and reputation.
  • Must be able to effectively assess risk.
  • Must be proactive and understand escalation protocols.
  • Must have strong written and verbal communication skills and be willing to pick up the phone.
  • Must be flexible, willing to learn new processes.
  • Teamwork & collaboration are important.
  • Critical thinking skills are a must.
  • Must have integrity and show a high-level of accountability. Mistakes are okay, not owning them and learning from them is not.
  • Resourceful, inquisitive, and enjoy working through difficult solutions collegially. Many of the concepts and/or solutions we face are sophisticated, and you bring a desire to work through these complex scenarios.
  • Demonstrates a strong interest in applied AI, leveraging AI-powered tools and automation to streamline workflows, improve decision-making, and drive efficiency in support of firm objectives.

Location: Hybrid – Los Angeles, CA or Newport Beach, CA

Compensation Range: $170,000.00 - $185,000.00 plus discretionary bonus.
The pay range provided is a good faith estimate for the position at the time of posting. Actual compensation will be dependent on factors, including but not limited to, the individual’s qualifications, relevant experience, knowledge, skills, education, internal equity, and physical work location within the state.
